Overview

As part of a broader digital transformation initiative led by a Japanese SI company, Luvina Software was selected as the offshore development partner to design and build a tailored Windows desktop application for a group company specializing in car rentals.

The end-user, an internal rental service provider within a large Japanese enterprise, had been managing all contracts manually using Excel and paper-based documentation. This project was a critical step in transitioning to a fully digitized and centralized contract management workflow.

Challenge

PROJECT OBJECTIVES

  • – Eliminate manual operations: Replace spreadsheets and paper documents with a centralized, secure system.
  • – Automate invoice and receipt issuance: Reduce human error and save time by linking directly to contract data.
  • – Enable multi-unit access: Build a client-server architecture that supports access from multiple subsidiary companies with proper access control.

BUSINESS & TECHNICAL CHALLENGES

  • – Data silos across subsidiaries: Decentralized data made cross-unit collaboration and reporting difficult.
  • – Disconnected workflows: No linkage between contracts, receipts, and reporting; difficult to trace errors or ensure consistency.
  • – Lack of access control: No version tracking or permission management for different users and departments.
